Tool A01Coming soon

AI quick-wins audit

Find where AI would pay back first in your business, ranked, with a first project and a 12-month plan.

Being built as a self-serve tool. Register your interest to hear when it is ready.

01

What it does

You answer a short questionnaire about your goals, the tasks that take most of your week, the software you use and how far you have got with AI. The tool proposes four to eight opportunities that fit your answers, scores each for value, effort and risk with a reason, and then ranks them with a fixed rule you can read in the report. You get a recommended first project with a 90-day plan, a 12-month roadmap and links to matching tools in the library.

Who it is for

  • Owners and managers of small and mid-sized businesses who are not sure where to start with AI
  • Teams that have tried AI tools or pilots and want to decide what to finish, scale or stop
02

Quick start

  1. 01Open the toolChoose AI and technology opportunity audit in your account. Set a monthly cap on the Usage and billing page first if you have not already: no tool runs without one.
  2. 02Answer the questionsSay what you most want to improve, list the tasks that take the most time (with rough hours if you know them), and pick your team size, AI use and budget. The more concrete you are, the more specific the audit.
  3. 03Run itThe tool shows the most a run can cost before you start. It usually takes a few minutes, and you can leave the page: the result waits in your run history.
  4. 04Read, edit and downloadStart with the recommended first project. Edit any wording, then copy, print or download the report as Word, Markdown, plain text or data.
03

What you give it

What do you most want to improve in the next 12 months?Required, up to 2,000 characters
What you most want to improve in the next 12 months, in a sentence or two. Every opportunity in the report must address a goal or task you name here.
Tasks that take the most time each weekRequired, up to 15 lines
The tasks that take the most time each week, one per line, with hours if you know them. The report uses your own numbers when it measures success.
Software you use todayOptional, up to 30 lines
The software you use today, one per line, with what it costs if you know. The audit looks for overlaps and gaps. Leave it empty if your Business profile already lists your tools.
Team sizeRequired, choose one of 5
How many people work in the business. It changes what is realistic to take on.
How much do you use AI today?Required, choose one of 4
How much you use AI today, from not at all to pilots under way.
AI you have tried so far, and how it wentOptional, up to 2,000 characters
Any AI you have tried and how it went. Include pilots that stalled: the audit plans how to finish or scale the most promising one.
Budget for new tools and changesRequired, choose one of 4
Roughly what you can spend on new tools and changes. Opportunities are chosen to fit it.
Anything to avoid or keep in mindOptional, up to 2,000 characters
Anything to avoid or keep in mind: data that must stay in one country, no customer-facing AI yet, a busy season. The audit does not propose what your constraints rule out.
04

What you get

Summary
Where your business stands and what the audit recommends, in a few sentences.
Recommended first project
The top-ranked opportunity, why it ranks first, a 90-day plan and how you will know it worked.
Opportunities, ranked
Four to eight opportunities. Each has a value, effort and risk score from 1 to 5 with the reason, what it solves, the approach, first steps and a measure of success.
12-month roadmap
The first project and one quick win in the first three months, then the rest in order, ending with a review.
Matching tools
Library tools that do the same job, with their real status: available, coming soon or bespoke.
Notes and questions
Overlaps or gaps in your software, and what you should confirm because your answers left a gap.
How we ranked these
The rule: priority = 2 × value + (6 − effort) + (6 − risk), out of 22. Ties go to the lower effort. The same scores always give the same order.

You can edit the result, then copy it, print it or download it as Word, Markdown, plain text or data. Every run is kept in your run history until you delete it.

An example

An example with made-up details: a small electrical firm that spends its evenings on quotes.

You give

What do you most want to improve in the next 12 months?
Win more work without working evenings, and get quotes out the same day.
Tasks that take the most time each week
Writing quotes and proposals, about 6 hours a week Chasing unpaid invoices, about 2 hours a week Answering the same customer questions by email
Team size
2 to 9 people
How much do you use AI today?
Free tools now and then
Budget for new tools and changes
A modest monthly amount

You get

  • A ranked list in which quote drafting is near the top, because it addresses the 6 hours a week
  • A first project with a 90-day plan and a measure of success based on those 6 hours
  • A roadmap that places invoice chasing and repeated customer questions in later quarters
  • Library tools matching each opportunity, with their status
06

What the AI does

It does

  • Reads your answers and your Business profile
  • Proposes opportunities that address the goals and tasks you named
  • Scores value, effort and risk and gives a reason for each score
  • Writes first steps and a measure of success using your own numbers

It does not

  • Check whether your answers are true, or see your systems: it works only from what you tell it
  • Know your costs, prices or the market: it gives no savings figures or industry statistics
  • Guarantee a result: scores are a reasoned judgement, so read the reasons and disagree where you know better
  • Decide for you: you choose what to do

Please check itThe scores are judgement, not measurement. Read the reason beside each score and change the ones you disagree with: edit the wording, and the plan stays yours.

Limits

  • What do you most want to improve in the next 12 months?: up to 2,000 characters.
  • Tasks that take the most time each week: up to 15 lines.
  • Software you use today: up to 30 lines.
  • Team size: choose one of 5.
  • How much do you use AI today?: choose one of 4.
  • AI you have tried so far, and how it went: up to 2,000 characters.
  • Budget for new tools and changes: choose one of 4.
  • Anything to avoid or keep in mind: up to 2,000 characters.
  • The ranking uses the scores as written: if you change a score in the text, the order does not change.
  • Your workspace's monthly cap: a run that would take you over it pauses, and carries on where it stopped when you raise the cap.
08

Your data

  • What you enter, the files you choose and the result are stored encrypted with your workspace's own key. Only people in your workspace can open them.
  • To produce the result, what you give the tool (and the parts of your Business profile it uses) is sent to our AI provider, Anthropic. It uses it only to answer, and its terms do not allow it to train its models on it. We do not train on it either.
  • Files you upload are deleted after 30 days unless you choose to keep them. You can delete a run at any time: what you entered, the result and the progress notes go; only the usage record stays, because it is part of your billing.
  • Our service is hosted in the United States.

Questions

What does a run cost?

You pay for the AI it uses, at cost plus a markup, never more than the monthly cap you set. The tool shows the most a run can cost before you start it. The one-time licence fee and the monthly fee for the tool are announced at launch.

Can I change the result?

Yes. Choose Edit this result to change any wording or figure, and Restore the original result to go back. Copy, print and downloads use your edited version.

Is it ready to use now?

Not yet: it is coming soon. Follow it in your account to be told when it opens.

Why does the order not change when I edit a score?

The order and the roadmap are worked out from the scores when the report is made. Editing the wording does not re-rank. To re-rank with different answers, run the audit again: it is quick, and your earlier run stays in your history.

Does it tell me what I will save?

No. It does not know your costs, so it gives no savings figures. It tells you what to measure, using your own hours, so you can see the result yourself.

Will it recommend products from other companies?

Only software you already use, when it comments on overlaps. It recommends Trovecrest library tools where one fits, and shows their real status.

10

If something goes wrong

It asks for at least two tasks.
List the tasks that take the most time, one per line. Two is the minimum so the audit has something to rank.
The run is paused with “monthly cap reached”.
Raise the cap on the Usage and billing page. The run carries on from where it stopped and nothing is charged twice.
The result feels generic.
Add hours, numbers and names to your tasks, and fill in your Business profile (what you sell, who your customers are). Then run it again.
A library tool it recommends is not available.
The report shows each tool's real status. Follow the ones that are coming soon to be told when they open.

Still stuck? Use the enquiry form and say which tool and what you saw.
